SUMMARY:

Create financial transactions and assist the Accounting Manager. The creation of financial transactions includes posting information to accounting software from such sources as invoices to customers, cash receipts, and supplier invoices. Reconcile accounts to ensure their accuracy.

AP DUTIES AND RESPONSIBILITIES:

  • Processes accounts payable from invoice to payment including coding invoices with GL account, cost code, job number and distributing invoice for approval
  • Pay supplier invoices in a timely manner by check, credit card or electronic transfers
  • Prepare and preform check runs
  • Prepare and process electronic transfers and payments
  • Update and maintain records of expenditures
  • Tack expenses and process expense reports
  • Maintain vendor files
  • Maintain an orderly accounting filing system
  • Categorize all credit card expenses in real time
  • Credit card reconciliation

AR DUTIES AND RESPONSIBILITIES:

  • Maintain up-to-date billing system
  • Process incoming mail concerning billing and invoicing
  • Process all customer payments
  • Post payments to customer accounts
  • Prepare bank deposits
  • Investigate and resolve customer invoice inquiries
  • Reconcile cash receipts and deposits
  • Analyze financial records for accuracy
  • E-mail customer invoices daily via QuickBooks
  • Update weekly AR report and follow up with customers with past due balances
  • Prepare monthly account statements

ADDITIONAL RESPONSIBILITIES:

  • Provide clerical and administrative support to management when requested
  • Maintain petty cash fund
  • Monitor office supply levels and purchase when necessary
  • Purchase supplies and equipment as authorized by management
  • Prepare and submit tax and annual reports as required
  • Create and send storage certificates
  • Create vendor PO’s when MRF’s are submitted to accounting
  • Crop and send completion photos to customers via ERP system

QUALIFICATIONS:

  • High school diploma or general education degree (GED), and a minimum of one-year related experience and/or training or combination of education and experience
  • Knowledge of bookkeeping and GAAP principles
  • Computer skills required: QuickBooks online, MS Word, Excel, and ERP system
  • Must be self-motivated and able to manage, organize, and execute several tasks at one time
  • Experience with spreadsheets and financial reports
  • Ability to work closely with Accounting Manager
  • Other skills desired: Knowledge of Cemetery and Funeral industry

Job Type: Part-time

Pay: $20.00 - $23.50 per hour
