We are looking for a well-rounded individual to join our office team. We work on daily office tasks such as, imports for invoicing and payments, reporting, mail, bill entry and bill pay. Our office manages books for multiple brands, we are always looking for ways to improve reporting processes and speed.

Along with the office tasks, we may have some light production on promotional/gift type items and apparel. Along with producing these items we put together the shipments and send them to customers all over the United States. We are a growing business with opportunities in many areas, we are hoping to grow along side you.

Department: Administrative

Education/Experience: Minimum of a 2-year degree in Administrative Support or Business Management. Experience is not required but can be helpful.

Responsibilities & Duties:

• Imports to QuickBooks for invoices and payments
• Balancing of payments and recording entries into checking records
• Receiving and redirecting phone calls to the appropriate departments or person
• Filling documents as per the requirement of the office managers
• Data entry and loading other necessary information into the software programs
• Running reports from the data entry with excel, making reports and graphs for multiple departments and managers on a set schedule
• Ordering supplies/products
• Accounts Receivable calls
• Confirmation of receipt of goods, prior to entering bills
• Accounts Payable, Bill entry and bill payments
• Account Reconciliation
• Sending/Sorting of mail and using equipment to do so
• Building of new product processes or making of some products
• Printing & Embroidery of apparel, this may include learning how to run the machines
• Packaging of orders to ship to complete clothing program type orders
• Laser Engraving of promotional/gift type items
• Picking and packaging of orders and shipping them
• Correspondence with customers on payment questions and at time product questions

Qualifications:

• Ability to provide positive customer experience for customers
• Working knowledge of the following software: QuickBooks, Microsoft Office and willing to learn our custom software programs
• Ability to provide recommendations for continuous improvement of internal systems and procedures
• Requires effective oral and written communication skills, excellent interpersonal skills
• Understand and value working as a team to accomplish goals
• Knowledge of the sign industry, including materials, pricing, usage, and installation can be a beneficial but not recommended
• Knowledge of apparel printing/embroidery and general knowledge of machines can be beneficial but not recommended
