Client Service Associate – Financial Services

Excellent opportunity within the financial services industry, working in a small office setting. Please note: Industry licensing is not required, but industry experience is preferred.

Candidate must be detail and service oriented with the ability to prioritize and manage multiple projects. Job Summary

This position provides administrative support to the advisor, interfacing with clients and maintaining operating efficiency in a technology-centered environment.

Principal Responsibilities

  • Document Preparation: Identify and locate correct forms, prepare paperwork, and communicate with clients in order to send and receive information and acquire signatures
  • Account Setup and Updates: Collect and prepare client information for new accounts and account changes
  • Customer Relationship Management (CRM): update client information and create new workflows or systems to improve CRM functionality
  • Money Movement: Monitor money movement status and set up actions, such as Electronic Funds Transfer (EFT) lines, automated plans, and wires
  • Client Interaction: Communicate directly and promptly with clients to accomplish the above tasks and maintain high client satisfaction. Inform clients when transactions and actions have been completed
  • Alert and Process Monitoring: Oversee Commonwealth alerts, follow-up on required actions, and interact with various departments at Commonwealth
  • Document Filing: File client statements, correspondence, and agreements within five business days
  • Client Calls and Mailings: Handle phone calls from clients, when appropriate. Transfer calls to advisor, when needed. Perform mail merge for mailings and/or package and mail out hard copy mailings, as directed by advisor
  • Advisor Support: Handle advisor needs proactively
  • Optimize Office Procedures: Make recommendations to systematize and improve office functioning and update/add new procedures as needed
  • News Monitoring: Regularly review Commonwealth news items, technology updates, and e-mail communications. Report pertinent information back to advisor
  • Time Blocking: Track activity by client to manage profitability
  • Social Media: Post on firm social media platforms as directed by advisor
  • Miscellaneous: Other duties, as needed and determined by the advisor

Requirements

  • Excellent interpersonal, verbal, and written communications skills
  • Five years of experience in an administrative role or three years of experience in a client service role, preferably in the financial services industry
  • Proficient in Microsoft Office Suite
  • High attention to detail with the ability to follow precise directions and fill out forms correctly
  • Maintain the highest degree of confidentiality and strict adherence to firm’s written confidentiality policy

Compensation & Benefits

  • Competitive compensation: $55,000 to $65,000 based on experience
  • Benefits are available: bonus, health insurance (100% employer paid), 401(k) with employer contribution and profit-sharing contribution, paid time off, dental insurance, vision insurance, life insurance, disability insurance, flexible spending account, and health savings account
