Job Description :

We are looking to hire an Executive Assistant to join our growing team! The ideal candidate must have executive assistant experience or a similar role. We are looking for a go-getter, professional, organized and a person with high level of confidentiality and project management experience.

Essential Duties & Responsibilities:

  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Maintaining comprehensive and accurate records
  • Performing minor accounting duties / Specific to forecasting and budgeting
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Answering phone calls in a polite and professional manner
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
  • Maintain the Chief Commercial Officer’s (CCO) appointment schedule by planning and scheduling business and personal meetings, conferences, teleconferences, as well as coordinating and booking travel arrangements.
  • Assists the CCO with daily administrative duties and completes a broad variety of administrative tasks that include completing, reports, expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings
  • Assists and supports the CCO in preparing for meetings, including preparing meeting materials, keeping track of meeting progress and follow up items, and preparing and revising correspondence and other documents, as necessary
  • Works closely and effectively with the CCO to keep well informed of upcoming commitments and responsibilities, following up appropriately
  • Answer and direct telephone calls, and appropriately relay important information promptly, clearly, maintaining confidently as needed
  • Notify CCO of important dates such as employee birthdays and anniversaries
  • Plan, coordinate, organize and help at various company meetings, events, and celebrations
  • Be easily assessable for after-hour travel, scheduling, and other needs.
  • Pick up deliveries and run errands as needed for the CCO for both business and personal reasons
  • Other duties as assigned

Required Skills/Abilities:

  • Must have excellent Microsoft Office, Teams, Word, Excel (pivot table) Skills
  • Highly organized and self-motivated
  • Excellent verbal and written communication skills
  • Detail-oriented and good time management skills and ability to prioritize work
  • Demonstrates ability to take initiative, anticipate needs and exercise independent/sound judgment
  • Manage sensitive matters with a high level of confidentiality and discretion.

Education & Experience

  • A minimum of 3 years of experience as an Executive Assistant, Personal Assistant or similar role
  • Preferably an undergrad degree in BADM, Marketing, Finance
  • Bachelor's Degree preferred, but not required
  • Project Management Experience

Physical Requirements/Work Environment

  • This job operates primarily in a professional office environment and routinely requires operating standard office equipment such as computers, phones, photocopiers, and filing cabinets
