Assistant Controller
Reports to: Controller
Supervises: Staff Accountants

Classification: Exempt

Education and/or Experience

  • Bachelor’s degree from four-year college or university with concentration in business or administration with accounting major or minor and coursework in financial analysis and auditing.
  • Three years of professional accounting experience.
  • Experience overseeing information technology operation preferred.

Job Summary
Responsible for assisting in the management of the finance function including budgeting, financial reporting, maintenance of balance sheet accounts, internal control systems, and related aspects of Club operations. Together, with the Controller, the Assistant Controller is responsible for ensuring all financial transactions are properly recorded and for maintaining the Club’s general ledger and preparing financial reports in accordance with generally accepted accounting principles.

Essential Functions

Leadership

  • Promotes a positive culture.
  • Selects, trains, supervises, schedules, and evaluates accounting staff.
  • Plans professional development and training activities for staff.

Teamwork

  • Interfaces with various department heads as it relates to accounting and financial matters.
  • Prepares financial reports for use by departments, owners, etc. on an as requested basis.
  • Assists in the troubleshooting of IT issues throughout the property.
  • Provides training on accounting systems and programs.

Accounting

  • Assists the Controller with accounting items such as HOA bookkeeping and month closes, budget variance analysis by department, sales tax returns, processing of corporate credit card reports, and processing of monthly rental proceed distributions.
  • Formulates, receives, and recommends policy proposals relating to accounting and auditing, the budget, revenue and cost control procedures, preparation and payment of payrolls, tax matters, compilation of statistics and office methods and procedures.
  • Directs or prepares the monthly trial balance and resulting financial statements for the club, including the income statement, balance sheet and statement of changes in financial condition, along with required supporting schedules and other data necessary for financial reports and records.
  • Verifies that all insurance records for club property are properly maintained.
  • Compiles, approves, and maintains credit applications for vendors.
  • Monitors collection of past due accounts advises controller and general manager when difficult situations may arise.
  • Monitors accounts receivable and acts according to established club policies and procedures.
  • Oversees member billing and collection procedures.
  • Oversees the processing and timely payment of Club and HOA invoices.
  • Reconciles bank statements.

Payroll

  • Manages payroll systems and reports any issues to the Controller.
  • Processes bi-weekly payroll, ensuring employees are paid on time and accurately.
  • Gathers all additional payroll items (i.e., service charges, commissions, etc.) from department heads each pay period.
  • Maintains the upmost confidentiality relating to all payroll information.

Other Functions

  • Maintains necessary procedures for confidentiality relating to club and employee issues.
  • Interacts with the club’s external accounting firm and its auditors as necessary.
  • Manages assigned projects as they relate to the department and club’s needs.
  • Works with external auditors to assure that procedures are consistent with policies.
  • Directs may participate in and verify the taking of inventories for beverages, food, supplies, equipment, furnishings, and other club assets.

Licenses and Special Requirements

  • Certified Hospitality Accounting Executive (CHAE) a plus.

Physical Demands and Work Environment

  • Must be able to reach, bend, stoop, stand and lift up to 40 pounds.
  • Must be able to sit for prolonged periods of time.
  • Moderate noise level in the work environment.
