Executive Administrative Assistant

This position provides primary administrative support to the CEO of Lindsay Precast and supports other executive staff members. Responsibilities include managing schedules, preparing reports, preparing PowerPoint presentations, arranging meetings/events, executing projects, and taking meeting minutes. This position is also responsible for assisting other departments with administrative tasks as needed. An ideal candidate would be an excellent multitasker and someone who is extremely organized, detail oriented, and highly proficient with Microsoft Excel and PowerPoint.


Position Summary

Within this general framework, the following is used as a partial description and is not restrictive as to duties required:

  • Provides primary administrative support to the CEO, in addition to support for other executive staff members and departments
  • Presents a highly professional image, while dealing with internal and external customers
  • Maintains a high level of discretion and confidentiality while working on sensitive company information
  • Maintains the CEO's calendar and proactively solves any conflicts or needed coordination
  • Drafts written correspondence and presentations as needed
  • Organizes incoming and outgoing correspondence
  • Prepare and deliver monthly Board of Director information packets, PowerPoint Slides, Microsoft Excel reports, graphs, etc.
  • Schedule appointments and meetings as needed
  • Handles travel arrangements for the executive staff
  • Maintain filing and archived records
  • Takes detailed meeting minutes as required
  • Assist with packing and shipping for the executive staff
  • Gathers and compiles statistical data as required
  • Maintain contact lists as needed
  • Research and arrange special events as assigned
  • Other projects and duties as assigned

Qualifications/ Experience Requirements

  • High School Diploma or equivalent education required
  • Some post high school education plus
  • A minimum of three (3) years previous administrative experience required, preferably within executive assistant role
  • Must be highly customer service-oriented
  • Must be able to take detailed meeting minutes as required
  • Must have excellent written and verbal communication skills
  • Must be detail oriented and organized
  • Must have excellent time management and process skills
  • Must be professional, discrete and confidential
  • Previous marketing experience desired
  • Must be proficient with various computer programs (Microsoft suite including Outlook, Excel, Word, and PowerPoint)
  • Experience with other computer programs a plus (Photoshop, Publisher, Visio, etc.)
