Personal/Executive Assistant/Project Manager with Renovation Experience

If you’re an experienced personal/executive assistant who also happens to be an adventurous soul who loves the great outdoors, this may be your dream job. We’re a down-to-earth entrepreneurial executive couple with multiple homes (including several rental properties) in amazing places, and we need someone to help us with project management, maintenance, setup, travel, liaising with management companies, preparation for hosting guests and events and a variety of other support tasks around our personal and work lives.

Your role would include visits to each home a few times a year to spend a bit of time there managing renovations and upkeep, meeting with vendors, caretakers, cleaners, and rental property managers to ensure that everything is in good working order, and to help us manage our seasonal arrivals and departures.

This role also includes a variety of personal assistant duties as well as executive assistant duties in support of our home offices and businesses.

This role has flexible hours and requires a self-starter with strong relationship management, research and administration skills who can work independently from home, keeping dozens of parallel projects moving with minimal support or supervision.

The vast majority of work can be performed during weekday business hours, but the role will occasionally require some weekend or evening availability.

Our primary residence is in Olympic Valley, so we’re ideally looking for someone based in the Tahoe/Reno area who can help us manage our life here in Tahoe with the flexibility to travel throughout the year for short periods as needed.

Responsibilities include:

  • Arrange for household repairs and maintenance. Create a vendor list, meet with vendors and manage repairs.
  • Oversee major home renovations and additions, vetting contractors, liaising with architects and designers, and project managing the project from start to finish.
  • Oversee maintenance of cars, bikes, boats, skis, surfboards and other technical equipment. Keep a maintenance schedule and ensure that maintenance and repairs are performed on time and to your satisfaction.
  • Keep track of and organize payables for multiple properties and vehicles. Review bills with employer, create spreadsheets and coordinate payments with accounting department.
  • Schedule and manage housekeepers and other household support staff and contractors.
  • Manage guest visits, caterers and small events hosted at properties
  • Arrange medical and other health and wellbeing related appointments and arrange payment of medical bills.
  • Online research and general administration support for special projects
  • Manage personal and work calendars for both of us, coordinating meeting and interview requests and communicating with other team members, partners and colleagues around scheduling.
  • Assist in personal and professional relationship management including purchasing gifts, staff team building events and activities
  • Arrange trips which will include researching locations, coordinating travel arrangements and making reservations.
  • Research and acquire furniture, furnishings, sports equipment and household goods.
  • Occasionally purchase groceries and other essentials for homes.

Qualifications:

4-year degree

Extensive experience managing home renovation or construction projects

Experience as a personal or executive assistant

Excellent communication and relationship management skills

Proficiency in multiple software programs, including Google Drive, Excel, and Project Management software of your choice

Detail-oriented

Strong research skills

Must have own reliable winter-ready car and live within an hour of Olympic Valley, CA

Salary: $60-75K for full-time depending on experience and qualifications.
Possible Half-Time Position the right person.

Full-Time Benefits would include: PTO, 80% of Medical Insurance, Partial Dental, Vision, Life, 401k, FSA.
