Position Overview:

The Executive Assistant (EA) provides support to the Executive Director and Assistant Executive Director. The EA will be responsible both for performing a wide range of administrative duties/tasks and assisting with special projects. The ideal candidate is highly self-motivated, professional, friendly, tactful, has excellent organizational skills and capable of managing their workload and prioritizing tasks in a senior living environment.


Essential Job Duties:

  • Coordinate and organize information within the Administration office suite including answering calls/emails, returning voicemails/emails, scheduling meetings/appointments, maintaining contact lists, and developing systems to support the day-to-day office operations and support the community in remaining in compliance with Licensing.
  • Interface with residents, families and staff to provide information about Frank Residences (FR), problem solve, and offer general support. Act as the 'gatekeeper' to the Administration office.
  • Prepare confidential and time-sensitive materials for meetings, presentations and general distribution.
  • Maintain and order supplies for efficient office operations including office supplies, refreshments and other necessary items.
  • Develop and maintain an organized filing system for both paper and electronic documents.
  • Receive, sort and distribute mail for management office. Prepare and monitor vendor invoices.
  • Independently manage and coordinate special projects as directed.
  • Provide coverage for other roles, primarily the FR
  • Perform a variety of other tasks as assigned related to organizational, regulatory and communication and administrative functions.
  • Uphold a strict level of confidentiality
  • Perform other duties as assigned.


Qualifications:

  • Bachelor’s Degree in Business, Communications or related field preferred, or an equivalent amount of professional experience.
  • At least three years of relevant experience as an executive assistant, ideally in a healthcare setting.
  • Excellent oral and written communication skills including the ability to communicate articulately and with a wide range of constituents.
  • Have a keen interest in working directly with seniors and on projects that will improve the well being of seniors
  • Excellent analytical and problem-solving skills (e.g. being resourceful).
  • Demonstrated ability to prioritize multiple tasks and meet deadlines.
  • Demonstrated capacity for project management.
  • Ability to work proactively, both independently and with others in a team environment.
  • Ability to learn and adapt to changes quickly.
  • Computer software skills including proficiency in standard business applications.
  • Other duties as assigned.
