JOB DESCRIPTION

The Executive Assistant/Sales (EAS) helps the Sales Manager (SM) with all administrative tasks to keep time freed up to lead and train the sales team. The EAS is to manage data collecting & reporting, lead distribution, project intake, emails, phone calls, schedules & scheduling, and clerical tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

WEEKLY EXPECTATIONS

  • Material Ordering (Flyers, Folders, Bow materials, Cell Break Kits, etc.)
  • Organizes physical space and materials
  • Completes applications for sales events
  • Schedules appointments with customers & team members
  • Communicates on behalf of the SM between customers & other employees which includes reading, sorting, and replying to emails & phone calls
  • Collects data & fills out the sales scorecard for each of the Legacy Solar sales team members
  • Completes Accountability Check for each Legacy Solar sales team member
  • Creates and maintains weekly schedule for SM
  • Maintains an Action Item list for the SM to complete
  • Organizes, attends, and assists with the following: Sales Meetings, Individual Team Member meetings, & Sales Events
  • Manages the Closing Paperwork Process

MONTHLY AND QUARTERLY EXPECTATIONS

  • Makes travel arrangements and provides detailed itineraries
  • Arranges for meals/snacks to be provided for at various team meetings and functions
  • Other duties as assigned by the SM

LEADERSHIP STRUCTURE

  • Reports directly to the Sales Manager

SUCCESSFUL CANDIDATES

  • High School diploma or GED
  • Previous higher level Assistant experience
  • Excel &/or Google sheets proficiency
  • Monday.com or similar CRM experience (preferred)
  • Maintain managing sensitive matters with confidentiality and discretion; Office gossip will not be tolerated in any way
  • Highly organized
  • Strong computer skills
  • Must not be intimidated by open ended tasks
  • Advocate on behalf of the team needs and their own needs
  • Have a growth mindset that allows them to actively search for opportunities to improve, be challenged, and succeed
  • Seek to understand themself, customers, and other employees with a humble and positive attitude
  • Are conscientious in order to prioritize details, stay organized, and communicate precisely

COMPENSATION AND BENEFITS

  • Full-time 40 hours per week
  • $20-$22/hour (based on experience)
  • Company laptop
  • Cell Phone or Phone Stipend

After 90 days of employment:

  • 2 weeks paid time off (Can be used for sick or vacation time)
  • 9 paid holidays per year

Starting the 1st of the month following 30 days of employment, eligibility for:

  • Company paid Health Insurance: 80% paid in 1st year; 90% paid in 2nd year; 100% paid in 3rd year and in subsequent years
  • Company paid Term Life Insurance
  • Dental, Vision, Voluntary Life Insurance; paid fully by employee

Job Type: Full-time

Pay: $20.00 - $22.00 per hour
