We're looking for a detail-oriented Office Manager / Executive Assistant to help support our team. We are a website design and development agency located in Fond du Lac, WI that offers a variety of services to clients all over the United States. We utilize the latest technology to ensure our customers are happy, their websites are secure, always, online and easy to manage, while helping our clients grow their business online.

The purpose of this position is to perform administrative functions for The BBS Agency. The work is performed under the direction of the company President.

WHAT YOU WILL BE DOING:

As an Office Manager / Bookkeeper, you will be responsible for managing the office & related administration functions, assisting the president of the company with day-to-day activities, and helping with our online presence

  • Assist in day-to-day bookkeeping, year end reports, & help maintain accounting records
  • Billing and Invoicing. Process and record payments for accounts receivable
  • Receive, process and pay vendor invoices
  • Develop and prepare marketing materials for services and products
  • Assist with updating our (and our clients) websites and social media with
  • Provide oversight of the Support Team communications to insure quality and good customer services
  • Attend internal and virtual client meetings, record notes, help maintain internal file structure and records
  • Assist with scheduling, inbox maintenance, and routing of support requests
  • Documentation of procedures for the company training library
  • Maintain office supplies
  • Human Relations administration like onboarding training, assisting with payroll, benefit programs, etc.

WHAT YOU NEED:

  • Three years responsible secretarial/administrative support experience, or any combination of education and experience that provides equivalent knowledge, skills and abilities.
  • Accounting or bookkeeping experience or accounting / bookkeeping degree with 1 year with experience in Quickbooks or other accounting software
  • Skilled in written and verbal communication - composing and proofing client and internal facing documents and communications are part of day-to-day activities in this role
  • Skilled in the use of technology commonly used in today's business environments such as Microsoft 365 Suite, Google Workspace, social media platforms, etc.
  • WordPress experience is a plus
  • Basic photo & video editing skills are a plus
  • Be comfortable with video conferencing technology and being on camera during internal and client meetings
  • Must be organized, and be driven to keep things running smoothly
  • Excellent customer service skills and comfortable communicating over written (email & chat) and in-person and virtual meetings
  • Trustworthy and able to work with little supervision

GENERAL INFORMATION:

Location: In office with some remote opportunites
Hours: 30 hours per week, Monday - Friday, between 8:00am – 1:00pm (flexible)

We are very family friendly and offer flexible hours to accomodate for family responsibilites like dropping off and picking kids up from school, attending your childs. school functions, etc

Job Type: Part-time

Pay: $17.00 - $22.00 per hour
