About us

Calvert Internal Medicine Group is an independent, multi-specialty group practice located in southern Maryland.

We're looking for an experienced and enthusiastic Patient Access Manager to join our busy team at our medical practice. The ideal candidate will have prior experience working in primary care or internal medicine, along with a strong background in customer service.

Responsibilities:

  • Promotes and cultivates highly engaged teams through coaching, training, and development opportunities.
  • Interviews and makes hiring decisions to maintain adequate staffing.
  • Reviews and processes timecards in an accurate and timely manner. Maintains accurate employee attendance files.
  • Conducts timely training assessments and performance reviews. Solicits feedback from others as appropriate.
  • Provides new employees with a positive onboarding experience to the practice and patient access department(s).
  • Develops and or updates training competencies for each position in the patient access department.
  • Trains and/or delegates appropriate training responsibilities for new and current staff. Schedules and facilitates cross-training as appropriate.
  • Provides timely performance improvement feedback and coaching.to include but not limited to CIMG’s progressive disciplinary process as needed.
  • Conducts regularly scheduled team meetings to apprise staff of changes and to address broader-based program broader-based program area issues and initiatives.
  • Responds to employee questions/concerns and suggestions on an individual basis as needed.
  • Monitors the coding and overall maintenance of medical records.
  • Performs front office, call center, and medical record duties to meet operational need.
  • Serves as departmental point of contact for off-hour staffing issues, escalations, and staff questions.
  • Ensures the patient experience and service standards meet CIMG expectations.
  • Monitors work queues and uses reports and dashboards to monitor daily productivity and efficiency.
  • Tracks common issues and provides staff training to prevent the issue from reoccurring.
  • Analyzes operations and makes recommendations to increase effectiveness, productivity, and quality of service.
  • Works collaboratively with stakeholders on issues related to patient access.
  • Serves as a knowledge expert and information source for staff.
  • Enforces established policies and procedures, including work rules, safety procedures, and confidentiality standards.
  • Serves as an escalation point for patient issues and questions. Assists with complex and disgruntled patient situations requiring intervention.
  • Identifies, recommends, and administers departmental policies and procedures to ensure maximum efficiency and productivity are within the parameters of CIMG guidelines.
  • Assists with applications implementation, upgrades, and enhancements as required.
  • Supports CIMG’s strategic future, business plan, culture, and leadership practices.
  • Engages in leadership decisions to ensure the continued delivery of high-quality patient care.
  • Oversees Prince Frederick office inventory management of administrative supplies to maintain par levels.
  • Collaborates with administration and medical staff on special projects as assigned.
  • Attends and participates in organizational and departmental meetings as scheduled.
  • Performs other duties as assigned.

Qualifications:

  • HS degree or equivalent required. Bachelor’s degree in business, healthcare administration, or related major desired.
  • At least 5-years previous administrative or operational management experience in a healthcare setting required.
  • At least 1-year supervisory experience is preferred.
  • Strong communication (both written and verbal), active listening, time management, attention to detail, organizational, and multi-tasking skills.
  • Must be able to establish and maintain effective working relationships with internal and external customers.
  • Must be able to adapt and be flexible to meet the business need to include but not limited to changes in schedule, work location, and willingness to learn new responsibilities.
