Overview

A part-time Receptionist/Administrative Assistant position is available at Otterbein SeniorLife in Cridersville, Ohio. This role greets customers on the phone and in person and responds to a wide variety of requests by accurately assessing the customer's needs and requests and then adds personal recommendations and touches to achieve maximum customer satisfaction while complying with all Otterbein policies. Assists with various administrative functions. A regular schedule pattern will be primarily Monday-Friday 10:00am-2:00pm, with the opportunity to work additional hours, on an as needed basis.

Responsibilities

  • Greet customers entering and leaving the community, using customer name whenever possible
  • Answer customer calls and direct them appropriately
  • Handle all customer interactions with the highest level of hospitality and professionalism, accommodating special requests whenever possible
  • Maintain current file/listing of residents by name and location, emergency phone numbers of on-call personnel, department extensions
  • Resolve customer complaints and assists customers in all inquiries in connection with community activities, services, hours, directions, etc.
  • Maintain an accurate cash drawer balance. Receipt payment for rent, gifts/donations, guest meals, stamps, etc. Reconcile all transactions at the close of each shift
  • Receive, record and maintain Capital requests; forward requests for payment of capital invoices to Home Office for processing of payments.
  • Schedule appointments/reservations and maintain accurate records for gathering spaces and meeting rooms
  • Receive, sort and distribute all business and resident mail
  • Use a variety of computer programs, phone systems, and emergency systems for multiple tasks and communications
  • Maintain confidentiality of all pertinent resident and partner information
  • Special projects as requested

Qualifications

  • Education: High school diploma or equivalent
  • Experience: Positive, outgoing personality. Strong customer service etiquette. Previous experience with customer service, problem solving, listening, phone skills, and multi-tasking;
  • Ability to be self-directed and prioritize tasks, working independently and managing time efficiently
  • Ability to handle emergency situations in a calm and professional manner
  • Excellent customer service and communication skills, both written and verbal
  • Creative problem solver with ability to seek out solutions and work with little direction
  • Initiative to cross-train and learn new tasks as assigned
  • Must exercise sound judgment, discretion and confidentiality in all matters
  • Computer Skills: Proficient in Microsoft Office
