Small's Asphalt Paving, Inc is a family business located in Gambier, OH. We are fast-paced, multi-faceted company with a goal to meet the needs of our customers and compete against other companies to secure road construction contracts for our future. Small’s Sand & Gravel, Inc., Small’s Asphalt Paving, Inc., Small’s Inc. Ready-Mix Concrete and Small’s Trucking, LLC are all located at one location at 10229 Killduff Rd. Gambier, Oh 43022. Our companies work throughout the counties of Knox, Coshocton, Delaware, Licking, Morrow, and Richland. We work Monday through Friday.

Small’s Asphalt Paving is dedicated to serving our clients with the highest quality asphalt, ready- mix concrete, gravel, pipe, topsoil and sand products.

We are seeking a self-motivated, highly organized individual to fill the position for Estimating Administrative Assistant. Applicant must have wide degree of adaptability, organization and willingness to learn as needed. This position will perform a variety of tasks:

• Assist in organizing, coordinating, scheduling, monitoring and recording all

activities

• Gathering details and compiling data to assist our estimating team with bidding and pricing projects
• Familiarity with standard concepts, practices, and procedures of an office environment while relying on experience and judgement to plan and accomplish goals.
• Applicant will be a major asset in assuring that projects have all necessary documents to be passed onto our estimating team for preparation of bids and quotes for work as requested.
• This position is a combination of office work and on-site related tasks, which require the successful candidate to occasionally visit job sites as required to facilitate the bidding and quotation process.

Duties and Responsibilities

• Answering phone calls and email correspondence
• Answering overflow calls from our dispatch center as needed
• Communicating directly with project managers and estimators concerning cost and scheduling
• Assisting Estimators in preparing cost estimates, budgets, and work timetables
• Interpret and explain contracts and technical information to other professionals
• Select subcontractors and schedule and coordinate their activities
• Prepare and submit contracts
• Report work progress and budget matters to clients, project managers and estimators
• Respond efficiently to work delays, emergencies, and other problems as they arise
• Computer and intermediate mathematical skills are required to conduct day to day business
• Working and functional knowledge of the Microsoft Office Suite products specifically Word and Excel is required.
• May have to learn other programs pertaining to the job such as quoting and bidding software, Adobe PDF editing programs, and other software as necessary to this position.
• Basic understanding of project estimation, budgeting, management, and administration is preferred as well as the ability to manage multiple tasks
• The ability to effectively communicate verbally AND in writing along with strong computer skills
• Proficient-intermediate level in Microsoft Office (especially Excel) is required
• Familiarity with project management and scheduling is desirable

Position Requirements

• High School Graduate or college experience preferred
• At least 2 years of experience in the office/construction environment preferred
• Must be able to use office equipment such as but not limited to, computers, phones, copier machines, tape measurer or other measuring devices.

• Flexibility in fast-paced environment
• Clean background and driving record

Working Conditions

• This is a full-time position which may involve 40+ hours a week
• May be required to visit sites in inclement weather
• May be required to attend township meetings in evenings throughout the week
• May be required to work overtime

Physical Requirements

While performing the duties of this job, the employee must be comfortable operating a full-size pickup truck. May be required to wear safety equipment including but not limited to, hard hat, safety vest, safety shoes, high visible clothing. Office environment may require lifting 20 lbs. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
