BOOKKEEPER (Part-time)

For Homeowners’ Association

GENERAL STATEMENT OF RESPONSIBILITIES: This is a part-time position. Approximately 8 to 16 hours per week. The position will be the bookkeeper for the Homeowners’ Association and as such is responsible for assisting with all aspects of general bookkeeping for the HOA operations. MUST have full proficiency with QuickBooks Desktop, MS Word, and MS Excel. Must have proficiency with processing Automated Clearing House (ACH) transactions.

Essential Functions:

  • Accounts Payable: Review & Categorize invoices to assure for proper record keeping.
  • Post transactions into QuickBooks Desktop.
  • Print out checks for Board of Directors approval and signature.
  • Accounts Receivable: Posting of payments into QuickBooks Desktop. * Tracking of any payment plans.
  • Tracking delinquent/uncollectable accounts.
  • Payroll: Collect timecards.
  • Prepare weekly paychecks.
  • Submit payroll taxes by required due dates.
  • Prepare Year-end payroll related tax forms.
  • Prepare Financial reports as necessary for all HOA related accounts. Prepare requested financial reports for HOA Board of Directors. * Assist with budget process each budget cycle as needed.
  • Prepare supporting documents for the filing of liens and lien releases for the HOA.
  • Collaborate with the HOA BOD and attorney with the collection process.
  • Prepare deposits weekly.
  • Reconcile bank statements.
  • Reconcile general ledger accounts.
  • Process invoices for customers.
  • Update QuickBooks Desktop with new homeowners.
  • Generate Balance Sheets, Income Statements, Statement of Cash Flows and other required financial reports.

Technical Skills (Knowledge, Skills, and Abilities):
Minimum Qualifications Required: High School diploma required. Two years bookkeeping experience required. Bachelor’s Degree in accounting, finance, or related field preferred. Proficiency in the English language is required. Proficiency in the Spanish language is preferred. Excellent written and oral communications skills preferred. Proficiency with computer software applications including QuickBooks Desktop, MS Word, and MS Excel is required. Must have good written and verbal communications skills; ability to work well with different types of people, including Board of Directors, residents, co-workers, and vendors.

Physical Demands: Must be able to walk up a full flight of stairs to where the office is located. Must be able to sit at a desk for long periods of time.

Supervisor: The HOA bookkeeper receives direction and immediate supervision from the Board of Director responsible for Human Resources but is expected to exercise a high degree of independence and initiative to accomplish the major functions of the position. The bookkeeper is expected to work with other office personnel as needed to perform the functions of the position.

Job Type: Part-time

Pay: $30.00 - $39.00 per hour
